We are looking for an experienced System Administrator. Reporting to the Finance Manager you will be responsible for the maintenance of Paprika, our agency / project management software and accounting system. This system is used to manage multiple agencies within the Smarts group. You’ll be the system expert within the business and will ensure that the system is up to date in terms of user access and being used accurately. You’ll also analyse data to ensure we are more productive, efficient and profitable.

Location: Belfast (hybrid - 3 days per week in office)

What You'll Do

Finance system maintenance:

  • Reviewing new supplier forms and setting up new suppliers on the system
  • Setting up new clients on system
  • Liaison with Paprika around new / more efficient ways of working

Management of system user rights for all staff:

  • Creating new accounts / processing leavers / updating user rights
  • Ensuring that correct access is assigned to different types of users accounts
  • Managing freelancers’ timesheet process on a weekly basis

Timesheet control and maintenance:

  • Reviewing timesheets on weekly basis for accuracy
  • Addressing any errors with users and chasing information
  • Driving timesheet process improvement
  • Preparing weekly timesheet reports for management

Training:

  • Providing system training to new starts depending on their user access
  • Providing in depth training for project managers
  • Hosting a weekly Paprika drop-in session to resolve any user queries

Data Analysis:

  • Running weekly reports and analysing system data and trends

What we need:

  • Dynamic, confident individual who is able to communicate clearly to all levels, both verbally and in written form
  • Experience in a similar role, responsible for the management of agency / project management software and systems
  • Experience in delivering system training
  • Excellent organisation skills and ability to prioritise
  • High attention to detail
  • Strong time management skills
  • Analytical and logical problem-solving skills
  • Ability to work under pressure
